General FAQ

Do I still need to file my quarterly 941 and Oregon OQ?

No, since all of your employees are leased through Kaya HR we file one tax return under our federal and state tax IDs which includes your employees’ information.

What benefits can Kaya HR offer my employees? Does working with a PEO provide better benefits than I can get without a PEO?

The answer to this question depends on what type of benefits you are considering. Kaya HR offers a Benefit-of-the-Month which are voluntary benefits like LifeBalance, pet insurance, dental coverage, or discounted membership cards like AAA or Costco. Our employees and clients love these perks! As far as health insurance, we work closely with our experienced broker (or your existing broker, if you prefer) to propose options through a variety of carriers. Your medical or dental plan would be unwritten to your company specifically, which allows you to select just the right combination and level of benefits that will work best for your employees. Lastly, we do offer a multiple employer 401(k) plan that offers a very low-cost way for you to participate in a retirement savings plan that is financially out of reach for many small employers.

Can I retain the current benefits I offer my employees?

As long as the benefits you currently offer are plan(s) underwritten to your company, you can retain those policies. We can still administer them on your behalf!

Does a PEO take control of it's clients' operations?

No, a PEO does not take complete control of your operations. Here’s a detailed explanation:

1. Division of Responsibilities:
  • Client’s Responsibilities
    • Core Business Operations: You maintain control over all core business decisions and operations. This includes managing your products, services, and overall business strategy.
    • Employee Management: You continue to supervise and manage your employees’ daily activities, set their schedules, and evaluate their performance.
    • Hiring and Firing Decisions: You retain the authority to hire and fire employees based on your company’s needs and policies.

  • PEO’s Responsibilities:
    • HR Administration: The PEO handles various human resources functions such as payroll processing, employee benefits administration, and compliance with labor laws and regulations.
    • Risk Management: They assist with workplace safety, workers’ compensation claims, and other risk management services.
    • Employee Benefits: The PEO provides access to comprehensive employee benefits packages, including health insurance, retirement plans, and other perks.

2. Co-Employment Relationship:
  • When you partner with a PEO, you enter into a co-employment relationship. This means both you and the PEO share certain employer responsibilities.
  • You remain the primary employer, while the PEO acts as the administrative employer, handling specific HR and administrative tasks on your behalf.

3. Benefits of Using a PEO:
  • Cost Savings: By leveraging the PEO’s buying power, you can often access more affordable employee benefits and insurance options.
  • Compliance: The PEO ensures that your business complies with complex employment laws and regulations, reducing the risk of legal issues.
  • Focus on Growth: With the PEO managing administrative tasks, you can focus more on growing your business and improving your products or services.

4. Collaboration and Support:

  • The relationship with a PEO is collaborative. They provide support and resources to help you manage your workforce more effectively, but they do not interfere with your business’s core functions and decision-making processes.

In summary, a PEO partners with your business to handle HR and administrative tasks, allowing you to focus on your core business operations. They do not take control of your company but rather support you in managing your workforce efficiently and compliantly.

Why should I choose a boutique-style HR company?

Choosing a boutique-style HR company over a corporate one can offer several unique advantages, particularly if your organization values personalized service, flexibility, and specialized expertise. Here are the key reasons why you might opt for a boutique HR firm:

1. Personalized and Tailored Service
  • Customized Solutions: Boutique HR firms often provide more personalized and customized solutions tailored specifically to your company’s needs, culture, and goals.
  • Closer Relationships: They tend to build closer relationships with their clients, allowing for better understanding and alignment with your business objectives.
2. Flexibility and Agility
  • Adaptability: Boutique firms are typically more agile and able to quickly adapt to changes in your business environment or specific HR requirements.
  • Quick Response Times: Their smaller size often means faster decision-making and more immediate responses to your needs.
3. Specialized Expertise
  • Niche Focus: Many boutique HR companies specialize in particular areas of HR, such as talent acquisition, executive search, employee engagement, or specific industries. This specialized knowledge can lead to higher quality outcomes.
  • Expert Consultants: You often get access to senior-level consultants and industry experts who bring deep insights and experience to your HR challenges.
4. Direct Access to Key Personnel
  • Senior-Level Attention: Clients typically have direct access to the firm’s senior consultants and decision-makers, ensuring that your needs are handled by experienced professionals.
  • Dedicated Support: Boutique firms can offer a more dedicated and consistent team, leading to stronger working relationships and better service continuity.
5. Innovative and Creative Solutions
  • Innovation: Smaller firms are often more willing to adopt new technologies and innovative approaches to solving HR problems.
  • Customized Approaches: They can offer creative and bespoke solutions that are specifically designed for your organization rather than using one-size-fits-all methodologies.
6. Client-Centric Approach
  • High Client Satisfaction: Boutique firms often prioritize client satisfaction and long-term relationships, focusing on delivering high-quality service and achieving client goals.
  • Responsive Service: They tend to be highly responsive and attentive to client needs, offering a level of service that can be more difficult for larger firms to match.
7. Cost-Effectiveness
  • Competitive Pricing: Boutique firms can often offer competitive pricing and flexible pricing models compared to larger firms, providing excellent value for the quality of service received.
  • Focused Resources: You pay for what you need, and resources are often more focused and efficiently utilized, reducing unnecessary costs.
Conclusion

Choosing a boutique-style HR company can be highly beneficial if you seek a more intimate, responsive, and specialized approach to HR services. The personalized attention, flexibility, and deep expertise provided by boutique firms can lead to better alignment with your business needs and more effective HR solutions. If these qualities align with your priorities, a boutique HR firm may be the ideal choice for your organization.
